Privacy Policy
Last Updated: 14 January 2025
At xolivarent, we take your privacy seriously. This policy explains how we collect, use, and protect your personal information when you use our long-term budgeting services.
We're committed to transparency. If something here doesn't make sense, reach out—we're happy to clarify.
Information We Collect
We collect information that helps us provide better budgeting tools and support. This happens in a few different ways.
Information You Provide Directly
When you sign up or use our services, you share information with us:
- Name, email address, and phone number when creating an account
- Financial goals and budget preferences you set within the platform
- Payment information when you subscribe to premium features
- Any messages or feedback you send through our contact forms
Information Collected Automatically
Like most websites, we automatically gather some technical data:
- Device information including browser type, operating system, and screen resolution
- IP address and general location data (city and state level only)
- Pages you visit and features you use within our platform
- Time spent on different sections and interaction patterns
Financial Data Handling
We don't store your bank login credentials or full account numbers. When you connect financial accounts, we use encrypted third-party services that comply with Australian banking standards. We only receive summarized transaction data necessary for budgeting analysis.
How We Use Your Information
Your data serves specific purposes that make xolivarent work better for you.
| Purpose | Details |
|---|---|
| Service Delivery | Creating and maintaining your account, processing your budgets, generating financial insights |
| Communication | Sending account updates, responding to support requests, sharing relevant tips and resources |
| Improvement | Analyzing usage patterns to enhance features, fix bugs, and develop new tools |
| Security | Protecting against fraud, unauthorized access, and technical issues |
| Legal Compliance | Meeting Australian financial regulations and responding to lawful requests |
We don't sell your data. Your financial information stays between you and xolivarent. We occasionally work with service providers who help run the platform, but they're contractually bound to protect your information.
Data Storage and Security
Your information is stored on secure servers located in Australia. We use industry-standard encryption both when data travels between your device and our servers (TLS 1.3) and when it sits in our databases (AES-256).
Our security measures include:
- Regular security audits by independent third parties
- Multi-factor authentication options for all accounts
- Automatic session timeouts after periods of inactivity
- Continuous monitoring for suspicious activity
- Strict access controls limiting who can view your data internally
But let's be realistic—no system is completely impenetrable. While we take extensive precautions, we can't guarantee absolute security. If we detect a breach affecting your data, we'll notify you within 72 hours as required by Australian privacy law.
Your Rights Under Australian Privacy Law
The Privacy Act 1988 and Australian Privacy Principles give you specific rights regarding your personal information. Here's what you can do:
Access Your Data
Request a copy of all personal information we hold about you. We'll provide this within 30 days at no charge.
Correct Inaccuracies
Update or fix any incorrect or outdated information in your account at any time through your settings.
Delete Your Account
Request complete deletion of your account and associated data. Some financial records may be retained for legal compliance.
Restrict Processing
Limit how we use your data in certain circumstances, though this may affect service functionality.
Data Portability
Export your budgeting data in common formats (CSV, PDF) to use with other services.
Object to Marketing
Opt out of promotional communications while still receiving essential account notifications.
How to Exercise These Rights
Send requests to help@xolivarent.com with "Privacy Request" in the subject line. Include your registered email address and specify what you'd like us to do. We'll verify your identity and respond within 30 days. If you're not satisfied with our response, you can lodge a complaint with the Office of the Australian Information Commissioner.
Cookies and Tracking Technologies
We use cookies—small text files stored on your device—to make xolivarent work properly and remember your preferences.
Essential Cookies
These keep you logged in and remember your settings. They're necessary for the platform to function. Disabling them means you won't be able to use xolivarent effectively.
Analytics Cookies
We track how people use the site to identify what works and what needs improvement. This data is aggregated and anonymized. You can opt out through your account settings without affecting core functionality.
Preference Cookies
These remember choices like your dashboard layout, notification preferences, and display settings. They make your experience more personalized but aren't required.
You can manage cookie preferences through your browser settings, though this might limit some features. We don't use third-party advertising cookies.
Data Sharing and Third Parties
We work with a limited number of service providers to operate xolivarent. Each has access only to the data they need for their specific function.
Service Providers We Use
- Cloud hosting providers for server infrastructure (Australian-based)
- Payment processors for subscription billing (Stripe, PayPal)
- Email service providers for account notifications
- Analytics platforms for usage data (anonymized)
- Customer support tools for managing your inquiries
All these providers are bound by data protection agreements. They can't use your information for their own purposes or share it with others.
When We Must Disclose Information
Australian law sometimes requires us to share information with authorities. This happens when we receive valid legal requests from law enforcement, court orders, or government agencies. We'll notify you about such requests unless legally prohibited from doing so.
Data Retention Periods
We keep your information only as long as necessary for the purposes outlined in this policy or as required by law.
Active Accounts: Your data remains accessible while your account is active and for 12 months after your last login.
After Account Deletion: Most data is deleted within 90 days. Financial transaction records are retained for 7 years to comply with Australian tax and financial regulations.
Backup Systems: Deleted data may persist in encrypted backups for up to 90 days before complete removal.
If you stop using xolivarent but don't delete your account, we'll send reminders after 18 months of inactivity. After 24 months with no login, we'll archive your data and eventually delete it.
International Data Transfers
Your data is primarily stored and processed within Australia. Occasionally, some service providers may process limited data outside Australia—for example, when using international cloud backup systems or support tools.
When data leaves Australia, we ensure adequate protections through:
- Standard contractual clauses approved by Australian privacy regulators
- Transfers only to countries with comparable privacy protections
- Additional encryption and security measures during transit
- Regular audits of international service providers
You can request details about specific international transfers by contacting us.
Children's Privacy
xolivarent is designed for adults managing their finances. We don't knowingly collect information from anyone under 18 years old. If you're a parent and believe your child has provided us with personal information, contact us immediately and we'll delete it.
Parents or guardians may create accounts on behalf of dependents aged 16-17 for educational purposes, but the adult remains responsible for the account and any data collected.
Changes to This Policy
We update this policy occasionally to reflect changes in our practices, legal requirements, or platform features. When we make significant changes, we'll notify you via email and display a prominent notice on the platform for at least 30 days.
The "Last Updated" date at the top shows when the most recent changes took effect. Continuing to use xolivarent after changes means you accept the updated policy. If you disagree with changes, you can delete your account before they take effect.
Previous versions of this policy are available upon request if you want to see what's changed.
